1. FEATURE ARTICLE-"BEAT THE HEAT - Managing Family and Business While Enjoying the Summer!"

Recently, I have been working hard to find a balance between my business and personal life.  As most of you know, a few months ago, I moved from Pennsylvania to Virginia.   After making this move, I got involved with the local chapter of the MOMS Club - an organization for 'stay at home' Moms!  Through this group I have met a great group of people and love to participate in the weekly activities with my son, Adam.  In order to do this, I needed to find a happy medium with my business to avoid feeling guilty for taking some personal time away from Quick Keys(TM).  I want to enjoy my summer while still maintaining and running my business.

As summer approaches and the weather is getting nicer(we hope), many of you may be wanting to take advantage of the good weather and spend time with your families doing the things you love to do.  It is often difficult to find the balance between your business and your family while still finding time to take care of yourself.  However, this is a very important task in creating the life you love.

This issue of Quick Keys News(TM) is devoted to helping you manage your time allowing you to fully enjoy your summer.


2. VIRTUAL VALUE
"Focus - Buffer - Free /// Time Management Schedule"

In trying to manage your business, clients, family and self, here is a terrific time management format that was given to me by Barbara Blocker, my Business Partner, Client, and Personal Coach.

First let me define each section:

Focus Time Revenue-producing activities directly related to your business (ie   Marketing).
=> Choose to complete items that are your favorite ones to do -- delegate the others to your Virtual Assistant!
Buffer Time Not directly going to make the business money - but follow-up and support the activities generated by your focus days (ie Accounting).
=> Most of these activities - some day - can be delegated to your Virtual Assistant!
Free Time This is time that is to be used exclusively for just that...free time, play time, family time, relationship time, YOU time!

Next, the theory behind this schedule is that you separate your days into these three areas.  You may want to dedicate a full day to one specific area, or split each day up into the three areas.

Create a schedule for the week, blocking off time slots for each section.  Talk with your spouse or your children about when to make "Free" time, and decide on things to do.  Don't forget to block some time for yourself!  Once the schedule has been completed, the most important thing to do is STICK TO IT - the format can't work if you don't abide by it!

3. Q&A FOR THE VA

Q/ At the end of the day I find that I am always rushing to get the important tasks done - things that I have known about all day.  Do you have any suggestions on how to better prioritize my day?

A/ Actually, I have a great suggestion.  This is one that my husband uses daily.  It was taught to him after purchasing his Franklin Quest Day Planner(R).

  1. The first thing you should do every day is to make a list of all the items you need to complete in that day.
  2. Go back through that list and prioritize the importance of getting each item done.  Give the highest priority items an 'A' (items that MUST be completed that day), the next priority items a 'B' (items that should get done that day, but may be able to wait until the next day), and the lowest priorities a 'C' (items that need to be done, but aren't essential for that particular day). 
  3. Within each of the three categories, once again prioritize the importance of each item using numbers this time.
  4. Begin on your list starting with 'A-1' and work your way down the list.

Most people naturally complete the easiest tasks on their list just to get them crossed off.  However, these are the items that usually fall into the 'C' category!  You need to  train yourself to concentrate on the 'A' list and complete each number before you move onto the next.  You will most likely find that at the end of the day you are not rushing  to complete the important items you have known about all day :-)!
